Administrative Assistant Position Available – Toronto Glass
Location: Concord, ON
Job Type: Full-Time, Permanent
Salary: $34.50 per hour | 30 hours per week
Start Date: As soon as possible

Job Overview:

Toronto Glass is currently seeking a detail-oriented Administrative Assistant to join our team in Concord, ON. This role requires on-site presence and offers an opportunity to work in a dynamic and professional environment.

Qualifications & Requirements:

  • Education: High school diploma (Secondary school graduation certificate required)
  • Experience: 2 to 3 years in a similar role
  • Languages: English (Knowledge of Spanish or Hebrew is an asset)
  • Relocation: Employer does not cover relocation costs
  • Budgetary Responsibility: Managing budgets ranging from $0 to $100,000

Key Responsibilities:

  • Oversee and manage daily business operations
  • Supervise and support staff members
  • Distribute and process incoming mail and documents
  • Plan and track budgets and company expenditures
  • Establish and enforce administrative policies and procedures
  • Schedule and confirm meetings, conferences, and appointments
  • Maintain accurate records and meeting minutes
  • Manage contracts, employee data, and office documentation
  • Handle customer inquiries via phone and email
  • Prepare financial reports, statistics, and data analysis
  • Ensure proper payroll administration
  • Organize and maintain filing systems (both manual and computerized)
  • Order office supplies and maintain inventory
  • Coordinate travel arrangements and reservations
  • Provide general customer service and support
  • Conduct performance evaluations

Technical Skills & Specialization:

  • Software Proficiency: Google Docs, MS Office Suite (Excel, Outlook, PowerPoint, Access, Windows), QuickBooks, Simply Accounting
  • Familiarity with: Business administration, payroll services, project management, contracts, statistics, reports, and financial documentation
  • Social Media Management: Ability to develop and implement communication strategies
  • Accounting Software & Data Entry: Basic bookkeeping skills

  • Fast-paced setting with tight deadlines
  • Requires attention to detail and ability to multitask
  • Independent work with minimal supervision
  • Handling large caseloads and workloads
  • Travel may be required (expenses may or may not be covered by employer)
